Can you edit a PDF in Word?

Microsoft Word can open a PDF, but only by converting it into a Word document. Fonts get substituted, tables and columns move, page breaks land somewhere else, and saving as PDF produces a new file. If you need to change a few words and keep the document as it looked, edit the PDF itself.

Step by step

  1. Open the PDF in Word (optional). In Word, choose File → Open and pick the PDF. Word shows a notice that it will convert the file to an editable document.
  2. Compare the result. Check the tables, headers, images and page count against the original before you edit anything.
  3. Or edit the PDF directly. Open app.klevo.info, upload the PDF and type the change you want.
  4. Save the right file. Download the edited PDF from Klevo; the layout is the one you started with.

What Word does to a PDF

Word 2013 and later, including Microsoft 365, can open PDFs. There is no PDF editing engine behind it: the file is converted to a Word document and you edit that. Word itself warns that the result may not look like the original.

In practice that means substituted fonts, moved images, split tables, lost headers and footers, dropped form fields, and different pagination. Everything you fix in Word has to be fixed again when Word exports the document back to PDF.

When Word is the right tool

  • You are rewriting the document, not correcting it.
  • The PDF is mostly plain text with no layout to protect.
  • You need tracked changes, comments or a Word template for the next version.

When Word is the wrong tool

  • You are fixing a date, a name, a price or a typo.
  • It is an invoice, contract, certificate, form or anything with a designed layout.
  • The document has to stay identical apart from the change.

Editing the PDF itself

Klevo opens the PDF and edits the text inside it. You type what to change — “update the address to 45 King Street”, “change Net 15 to Net 30”, “fix all typos” — and the AI applies it, keeping the layout. Undo anything that comes out wrong, then download the PDF or send it for signature.

Scanned PDFs: if the pages are images, neither Word’s converter nor Klevo can change the words. That requires OCR, and the output needs checking by eye.

Frequently asked questions

Can Word edit a PDF without converting it?

No. Word converts the PDF into a Word document and warns that the layout may change.

Why does my PDF look wrong after opening it in Word?

The conversion rebuilds the document from its text and objects, so fonts, tables, columns and page breaks are recalculated.

What is the quickest way to change a word in a PDF?

Open it in Klevo, type the change and download the PDF. The rest of the page stays as it was.

Does Word keep form fields when it opens a PDF?

Usually not. Interactive form fields are commonly dropped in the conversion.

Do I need Microsoft 365?

No. Klevo runs in any modern browser on Windows, Mac, Linux and Chromebook, with free AI edits every day.
